Check-in Procedure:
At the team tent, in the grassy area to the south of the pool, there is a list of all swimmers with their events. You will simply highlight your swimmer's name to indicate they have arrived.
If you have a volunteering shift for the meet you will also check in with Lindsay Reeves or Jennifer Lord and pick up your name tag sticker. Please check in by 7:15a, that is how we know you have fulfilled your commitment to volunteering. ALL Stroke Judges and Timers need to attend a meeting at 7:40a.
Pre- Meet Schedule:
6:30am- Swimmer check in begins
7:15-7:45- Stonegate Warm-Ups
7:40 am- Stroke Judge and Timer Meeting at the starter table **All Shifts for the day attend**
7:50am- Start heating through event 12 (Swimmers first check in at Stonegate tent with the Stonegate Volunteer Heaters)
8:00am- The first race begins!
Swimmer Events:
Heat sheet is attached to this email and you can also find them on the website if you go to Swim Meets and they are linked to the appropriate meet. In the meet program you will find your athlete's event, heat, and lane.
Before the meet begins **BUT AFTER WARM UPs and SUNSCREEN** you will need to write events on each swimmer's hand with a Sharpie (one was provided to you in your bag at Pizza and Pictures). You will write Event Number, Heat Number, and Lane Number. Photo Attached for reference.
Pro Tip- Print the program and bring it to the meet and also write your children's events on your hand, post it or the back of the program for easy access.
What is a Combined Heat?
More often than not when we have empty lanes we will combine swimmers that are different age groups or genders (sometimes both) that are swimming the same event to use all lanes. This saves a tremendous amount of time for the meet and eliminates a lot of stress of an athlete swimming alone. If your child is in a combination heat there are arrows on the meet program that will show you where you can expect to see your swimmer swimming. The coaches know where to put them, the heaters and timers have a list and know when to expect your child as well.
Swimmer Cancellations:
We understand that unforeseen circumstances may arise, preventing some swimmers from participating in the meet at the last minute. If your swimmer is unable to attend, please inform us as soon as possible by reaching out to their age group coach or Coach Bella or Coach Rylee, this will allow us to adjust the relay teams and keep the meet running smoothly.
Friendly Reminders:
-It is your responsibility to ensure your child is checked in to the heating area on time for their upcoming race. Parents CANNOT enter the heating area. There are volunteers to get your kids where they need to be once they have entered the heating area.
-Parents may NOT approach the volunteers in the scoring tent. If you have a question about a race you need to speak to a Stingrays coaches or our parent reps. **Video evidence of a race outcomes will not be accepted**
-All parents and spectators need to conduct themselves in an appropriate and respectful manner at all times, setting a positive example for our young athletes. Failure to do so will result in being asked to leave the meet.
We are so looking forward to seeing the kids' in their third meet of the season! Please let us know if you have any questions!
